01
Separate customer policy from warehouse handling
Returns management covers more than a parcel arriving at a warehouse. Your team decides eligibility, communicates with the customer and determines any refund or replacement. The warehouse follows the agreed physical handling process and reports the information needed for that decision.
Brazilian consumer, marketplace and product-specific requirements should be reviewed by your qualified advisers. This service description is not legal advice and does not establish a universal returns deadline. Write a policy that fits your sales channels, then translate that policy into operational instructions.
02
Authorize and identify each return
Agree how a return is authorized and how it will be matched to the original order. An order reference, SKU list and reason for return reduce the chance of unidentified parcels accumulating in storage. Define what happens when a customer sends an unexpected item or omits the reference.
Carrier collection, return labels and customer drop-off options depend on the available service and commercial arrangement. Confirm these before promising a return method to shoppers. Return transport charges should be evaluated separately from the warehouse's receiving and inspection work.
03
Inspect against clear acceptance rules
Inspection criteria should describe packaging condition, seals, accessories, visible damage and product identity. A simple receipt check is different from functional testing or specialist assessment. Agree which checks are included and what evidence the brand needs.
Cosmetics, supplements and other regulated or sensitive goods may not be suitable for resale after opening or return. Product acceptance, quarantine procedures and disposal decisions require category-specific evaluation. Never assume every returned item can go straight back into available inventory.
04
Keep stock disposition explicit
Returned goods may be assigned to restock, hold, further review or another agreed disposition. Keep saleable inventory distinct from items awaiting a decision. This helps prevent an unapproved return from being allocated to a new customer order.
The brand should specify who authorizes each disposition and how exceptions are escalated. Refunds and customer-facing exchanges remain separate commercial actions unless expressly included in the service scope. Warehouse receipt alone is not evidence that a refund has been issued.
05
Measure the reasons behind returns
A returns report is more useful when reasons and outcomes can be compared consistently. Track incorrect items, delivery damage, customer preference and product-related issues using definitions agreed with your team. Avoid mixing customer-selected reasons with verified inspection findings.
For a proposal, share expected monthly returns, product types, inspection depth, average units per parcel and storage needed for held stock. Specify any re-packing, replacement dispatch or reporting requirement. Returns can then be priced as a defined workflow rather than an undefined extra.
